Privacy Policy
Effective date: October 26, 2026
This policy explains how Map Dept LLC, a California limited liability company ("Map Dept," "we," "us"), collects, uses and shares personal information when you use https://mapdept.com, our request form, our client portal and the maps we deliver (together, the "Service").
Information we collect
- Contact details you give us: your name, phone number, email address and state.
- Order details: show name, set name, location address, parking notes, dates, map versions, and any other notes you add. If you list another person as an on-set contact, we receive that person's name and phone number from you.
- Account information: if you sign in, the email address and basic profile details (such as your name) that Google or our emailed sign-in link provides to Firebase Authentication. We do not create or store passwords.
- Maps we make for you: the finished PDF and image of each map, which include the information above that appears on the map.
- Technical information: our hosting and security provider receives your IP address, browser type and similar request data when you visit the site, for security and to deliver the pages.
We do not use analytics, advertising cookies or tracking pixels. See our Cookie & Storage Notice for exactly what is stored in your browser.
How we use information
- To make, deliver and update your maps, and to show them in your portal.
- To create and run share links when you ask for one.
- To contact you about your orders, prices and invoices.
- To sign you in and keep your account secure.
- To keep business, tax and accounting records, and to meet legal obligations.
- To protect the Service and our users from misuse.
We do not use your information for advertising or automated decision-making.
Who we share information with
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We share information only as follows:
- Service providers that run the Service for us, under their own terms, which limit how they may use the data:
- Google LLC: Firebase Authentication (sign-in), Google Cloud Firestore (order details), Firebase Storage on Google Cloud Storage (map PDFs and images) and Gmail (email). This data is stored in the United States.
- Cloudflare, Inc.: website hosting (Cloudflare Pages), security, and email routing.
- Google Maps Platform. We use Google Maps to build maps. On the request form, the address you type is sent to Google Places Autocomplete to suggest matches, and the homepage shows a live Google map image. Google handles that data under the Google Privacy Policy.
- People you choose. When you create a share link, anyone who has that link can view that one map, including the show, location and contact details printed on it. You decide who gets the link.
- Legal and safety reasons. If the law requires it, or to protect the rights, safety or property of Map Dept, our clients or others.
- Business transfers. If Map Dept is merged, sold or reorganized, information may move to the new owner.
Other parties on our site
Google services built into our pages (Maps, Places and Google sign-in) may collect information, such as your IP address, and may set their own cookies under Google's policies. We do not allow any other party to collect personal information about your online activities over time or across other websites through our Service.
Do Not Track and Global Privacy Control
We do not track you over time or across other websites, so we respond the same way whether or not your browser sends a "Do Not Track" or Global Privacy Control signal. Because we do not sell or share personal information, there is nothing to opt out of. We will still treat a Global Privacy Control signal as a request to opt out of sale and sharing if our practices ever change.
How long we keep information
- Orders and maps: while your account is active, and then for 4 years after your last order, for business, tax and record-keeping purposes. After that we delete them or remove the personal information.
- Share links: until you turn the link off or the map is deleted.
- Account sign-in records: until you ask us to close your account, plus a short period to complete the deletion.
- Information saved in your browser: stays on your device until you clear it. See our Cookie & Storage Notice.
- Security logs held by our providers: for the periods set by those providers.
How we protect information
We use reputable cloud providers, encrypted connections (HTTPS), sign-in through Google or one-time links instead of passwords, and access rules that limit who can see each order. No method of storing or sending data is completely secure, so we cannot promise absolute security. If we learn of a breach that affects your personal information, we will notify you as required by law.
Reviewing and changing your information
You can see your orders and maps in your portal. To correct, update or delete any information we hold about you, email [email protected].
California privacy rights
The California Consumer Privacy Act (CCPA), as amended by the CPRA, applies to for-profit businesses that meet certain thresholds, such as annual gross revenue over $26,625,000 (as adjusted in 2025), or buying, selling or sharing the personal information of 100,000 or more California consumers or households. Based on our size, we do not believe these thresholds currently apply to Map Dept. Even so, we offer the following to everyone who uses the Service:
- Right to know: ask what personal information we have collected about you, where it came from, why we use it, and who we have shared it with.
- Right to delete: ask us to delete your personal information, subject to exceptions such as records we must keep by law.
- Right to correct: ask us to fix information that is wrong.
- No sale or sharing: we do not sell personal information or share it for cross-context behavioral advertising, and we have not done so in the past 12 months.
- Sensitive personal information: we do not ask for it and do not use it to infer things about you.
- Non-discrimination: we will not treat you differently, such as by charging different prices or giving worse service, because you used these rights.
How to make a request: email [email protected] with the subject "Privacy request." To protect you, we will confirm your identity, usually by checking that the request comes from the email address on your orders or account. You may use an authorized agent, but we may ask for proof that the agent acts for you. We aim to confirm receipt within 10 business days and respond within 45 days.
We do not disclose personal information to third parties for their own direct marketing purposes.
Children
The Service is for business users. It is not directed to children under 13, or to anyone under 16, and we do not knowingly collect personal information from them. If you believe a child has given us information, email us and we will delete it.
Users outside the United States
Map Dept is based in the United States, and we store order and map data in the United States. If you use the Service from another country, your information will be transferred to and handled in the United States.
Changes to this policy
We may update this policy. We will post the new version on this page with a new effective date. If we make a significant change, we will also show a notice on the site or email active clients before the change takes effect.
