Terms of Service

Effective date: October 26, 2026

These Terms of Service ("Terms") are an agreement between you and Map Dept LLC, a California limited liability company ("Map Dept," "we," "us"). They cover your use of https://mapdept.com, our request form, our client portal, share links and the maps we deliver (together, the "Service"). If you use the Service for a production company or another business, you agree to these Terms on its behalf and confirm you have authority to do so. In that case, "you" includes that business.

1. Accepting these Terms

By using the Service, sending a request or signing in, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.

2. The Service

Map Dept makes crew location maps for film and TV productions. You send us the show name, set name, location address, parking notes, dates, map versions and your contact details. We build a one-page PDF map that may show a route from the studio or hotel to the location, parking, the nearest emergency room and contact information. We deliver the map by email and in your portal, where you can view it full screen, download it, print it and create a share link. We may change, improve or stop parts of the Service at any time.

3. Accounts and security

You can sign in with Google or with a one-time sign-in link sent to your email. These sign-in methods are provided by Google's Firebase Authentication. Keep your email account and devices secure, because anyone who can open your email may be able to sign in as you. Tell us right away at [email protected] if you think someone has used your account without permission. You are responsible for activity under your account.

4. Your responsibilities

  • Accurate information. Check that everything you send us is correct and complete. Our maps are based on what you provide.
  • Permits and permissions. You are responsible for all filming permits, location agreements, parking permissions and other approvals. A map from us does not mean any of these have been granted.
  • Other people's information. If you give us another person's name or phone number to print on a map, you confirm you have their permission to do so.
  • Review before use. Review each map before you send it to your crew, and tell us about any errors.

5. Maps are planning aids

Our maps help with planning. They are not a guarantee of road, route, parking or site conditions. Confirm all details with the location department before travel. Drivers must follow posted signs, traffic laws and directions from police, security and location staff. Roads close, routes change, and parking can move. Map Dept is not responsible for road closures, detours, traffic, construction, route choices or changes at a location after a map is made.

6. Hospital and emergency information

Hospital and emergency room details are provided for convenience only. Hospitals can change hours, services, addresses and phone numbers, and the nearest hospital may not be the right one for every emergency. In an emergency, always call 911. Confirm hospital details before relying on them.

7. Google Maps

The Service and our maps include Google Maps features and content. Your use of Google Maps features and content is subject to the then-current Google Maps/Google Earth Additional Terms of Service and the Google Privacy Policy. You must not remove, hide or change any Google logo, attribution or copyright notice on a map, on screen or in print. If you do not follow Google's terms, we may suspend or end your access to Google Maps features in the Service.

8. Share links

You can create a share link for any map. Anyone who has the link can view that map without an account, including everything printed on it. You control who receives the link, and links can be forwarded beyond the people you choose. You can turn a link off at any time in your portal, after which it will stop working. Copies that people have already downloaded, printed or saved cannot be recalled. Do not share links in public places if the map contains information you want to keep private.

9. Intellectual property

  • Ours. Map Dept owns the Service, our map templates, layouts, designs, software, name, logo and branding. These Terms do not transfer any of them to you.
  • Yours. You keep all rights to your show information and the other content you send us. You give us permission to use that content to make, deliver, store and support your maps and to run the Service.
  • Delivered maps. Once a map is delivered, we grant you a non-exclusive, non-transferable license to use, copy, print and share it for your production. You may not resell our maps or templates, or remove our branding, without our written permission. Google content in a map remains subject to Google's terms in Section 7.
  • Feedback. If you send us ideas or suggestions, we may use them without owing you anything.

10. Fees and payment

Prices are quoted for each order and shown in your portal. We invoice the production or business that ordered the map. Payment is due within 30 days of the invoice date. We may change our prices at any time, but a change will not affect an order we have already quoted. We will give notice of price changes before they apply to new orders. You are responsible for any taxes that apply. You can cancel an order at no charge before we start work on it; once work has started, we may charge for the work already done. Small corrections to a delivered map (a typo, a name, a phone number, a parking note) are included. Larger changes (a new location, a new route or a new map version) and rush requests are treated as new work, and we will tell you the price before we do them.

11. Acceptable use

You agree not to:

  • send false, misleading or unlawful information, or information you have no right to share;
  • use the Service or our maps to harass, stalk or harm anyone, or to enter property without permission;
  • try to get into accounts, orders or maps that are not yours, or test, probe or break our security;
  • copy, scrape or bulk download the Service, or use it to build a competing product or mapping data set;
  • overload or interfere with the Service, or upload malware; or
  • use the Service in a way that breaks any law or Google's terms.

12. Disclaimers

The Service and all maps are provided "as is" and "as available." To the fullest extent the law allows, Map Dept disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement. We do not promise that the Service will be uninterrupted or error-free, or that map data, routes, parking or hospital details from us or from Google will be accurate, complete or current.

13. Limitation of liability

To the fullest extent the law allows, Map Dept will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, production delays or lost data, arising from the Service or any map, even if we were told such damages were possible. Our total liability for any claim relating to the Service or a map is limited to the amount you paid us for the order the claim relates to, or $100 if there is no such order or you paid nothing. These limits do not apply where the law does not allow them, such as liability for fraud, willful injury or gross negligence.

14. Indemnity

You agree to defend, indemnify and hold harmless Map Dept and its owners, members and contractors from claims, losses and costs, including reasonable attorneys' fees, that arise from: the information you send us; your lack of any permit or permission; your use or sharing of our maps or share links; or your breach of these Terms or the law.

15. Ending your use

You may stop using the Service at any time and ask us to close your account. We may suspend or end your access if you break these Terms, if Google's terms require it, or if we stop offering the Service. Sections 6, 9 and 12 through 18, and any unpaid fees, continue after your access ends.

16. Changes to these Terms

We may update these Terms. We will post the new version here with a new effective date, and for significant changes we will show a notice on the site or email active clients. Changes apply from the new effective date. If you keep using the Service after that, you accept the updated Terms.

17. Disputes, governing law and venue

California law governs these Terms, without regard to conflict-of-law rules. If you have a dispute with us, please first email [email protected] with a short description, and we will both try in good faith to resolve it informally for at least 30 days. If it is not resolved, either party may bring a claim only in the state or federal courts located in Los Angeles County, California, and both parties consent to those courts. Either party may still bring a qualifying claim in small claims court.

18. General

These Terms and our Privacy Policy are the entire agreement between you and us about the Service, unless we have signed a separate written agreement with you, which will control where it conflicts with these Terms. If any part of these Terms is found unenforceable, the rest stays in effect. If we do not enforce a term, that is not a waiver. You may not transfer these Terms without our consent; we may transfer them as part of a merger, sale or reorganization.
